Yes. In Polish procedures it is a document that confirms a fact or a right, so a missing one usually means delay, cost or having to prove something another way. The most painful gaps tend to be employment certificates at retirement, ownership documents in an inheritance and confirmations in a dispute. Official documents can usually be restored; many private ones cannot.
Where a missing document costs most
- Pension. When setting the initial capital (kapitał początkowy) or explaining discrepancies, ZUS (the Polish Social Insurance Institution) may need old employment certificates (świadectwa pracy) and pay documents, especially for periods before 1999. When the employer no longer exists, restoring them can be difficult.
- Inheritance and property. Without a notarial deed, a land and mortgage register number or a contract, the family takes longer to establish what is in the estate and who it belonged to.
- Disputes and complaints. Without a contract, an invoice or a transfer confirmation it is harder to assert your rights. The tax office may also come back to a return from several years ago.
- Health. The next doctor does not know your treatment history, and applications for disability certificates and benefits require medical records.
What can be restored and what cannot
A copy of a birth, marriage or death certificate can be ordered at any civil registry office (urząd stanu cywilnego) in Poland or online. A copy of a notarial deed (wypis) is issued by the notary office, and after some years by the archive of the competent district court. An identity card can be issued again. It takes time and fees, but it can be done.
Documents that exist in a single copy are harder. A loan agreement between friends, invoices for a renovation, private correspondence with a landlord, a handwritten will kept in a drawer: nobody but you holds the originals.
A document nobody can find
The same consequences follow when a document exists but nobody knows where it is. After the death of someone close, a family can spend weeks looking for policies, contracts and account numbers, while inheritance deadlines run regardless.
A scan does not replace the original at an office, but it speeds up restoring it: it shows the number, the date and the authority that issued the document. What helps your family most is a list of important documents saying where the originals are kept, with copies gathered in one secure place. Then they will not have to search drawers and email inboxes.
